  1. Introduction: what is Envoy?

Envoy is a hot desk and visitor management solution that we use at three of our Natural Power Offices: Ochil House in Stirling, The Greenhouse in Dumfries & Galloway, and the Glasgow office. This system will allow all Natural Power users to book a desk at their contracted office, and it also allows visiting staff from other offices to book a desk at any of these offices in advance. Envoy is available to use as an app on mobile phones, and it will be deployed as standard to all work provided phones

  1. Install the Envoy app

If you have a work provided mobile phone, the Envoy app should already be installed and ready to open. The app icon looks like this:

If you’re using your own phone, please install the Envoy app from either the Google Play Store or the Apple App Store.

  1. Sign into the app

If you open this app, you’ll be asked to sign in for the first time. This should simply require you to sign into Office 365 with your Natural Power email address and password followed by a MFA (Duo) prompt.

The next steps are for completing your account. It may ask you to turn your location and/or Bluetooth off or on. These are voluntary and not essential for the app to function, so you’re welcome to allow or decline these as you wish.

  1. How to register

Depending on which office you’ve selected, you’ll need to register to confirm you’re able to work at the office.

Make sure you select the correct office in the top left of the app, and then click Register. Youll then fill in short form and click Finish to complete. 

  1. How to book a desk

Once you’ve registered, you’ll be approved and free to book a desk.

Under the Your Schedule heading you can view each day you’re scheduled to be in, or select days you are not scheduled to book in. A desk will then randomly be assigned to you and shown on that day in the calendar.


  1. How to change desk

If you want to change the desk you’ve been assigned, just click on the day in the calendar view again from the image above and click Edit Desk.

You’ll then be shown a map of the desks, and you can choose any desk that’s currently free. Click Confirm to change the desk to the one you’ve selected.
